The Position

Reporting to the Executive Director of Advancement, the Alumni Engagement Officer plays a vital role in supporting and executing the school’s alumni engagement strategy. This role focuses on building and maintaining strong alumni relationships, managing key programs and events, and coordinating volunteer efforts to foster a connected, vibrant alumni community. Working closely with colleagues across the Advancement team, the Officer brings initiative and creativity to implement engagement initiatives that deepen alumni connections and support the school’s mission.

Specific Accountabilities

Program and Relationship Management:
  • Support the delivery of alumni engagement initiatives including mentoring programs, milestone reunions, regional events, and other community-building activities; ensuring alignment with the overall strategy set by the Executive Director.
  • Build and maintain positive, ongoing relationships with alumni volunteers, regional leaders, and young alumni, providing them with resources and support to actively engage with the school community.
  • Collaborate with the Executive Director and Advancement team to help implement strategic priorities and maximize alumni participation.
  • Support reunion class giving efforts by coordinating with the fundraising team to communicate key messages and encourage participation in milestone giving campaigns.
Event Planning and Execution:
  • Lead the planning and smooth execution of a variety of alumni events—on campus and regionally—including reunions, receptions, and celebrations.
  • Manage logistics, coordinate with vendors and volunteers, oversee guest experience, and ensure timely follow-up to strengthen alumni engagement.
  • Work with the Executive Director and volunteer leaders on event program development and outreach.
Communications and Content Coordination:
  • Oversee the editorial process for alumni contributions to the school’s Chronicle magazine, including collection, editing, and liaising with the design agency to meet deadlines.
  • Assist in developing and distributing alumni communications, such as newsletters and email campaigns, that keep alumni informed and connected.
  • Utilize alumni data and feedback to help refine communication approaches.
Volunteer Coordination:
  • Manage the Havergal Old Girls Association and class representative program, supporting volunteer engagement and committee activities.
  • Help recruit, onboard, and support alumni volunteers, ensuring they have the tools and guidance needed to contribute effectively.
  • Serve as a key contact for volunteers and alumni interested in engagement opportunities.
Data and Reporting:
  • Maintain accurate alumni records in Veracross and other CRM systems, supporting data integrity and reporting needs.
  • Assist in tracking engagement metrics and preparing reports to inform Advancement leadership.
Representation and Outreach:
  • Represent the school at select alumni events and community functions, including some regional travel.
  • Act as a welcoming and knowledgeable contact for alumni engagement inquiries and opportunities.

Qualifications, Knowledge and Experience

  • Minimum three years’ experience in administration, coordination, alumni relations, donor engagement, or event planning, preferably within an educational or nonprofit environment.
  • Post-graduate certificate or diploma in event management, fundraising, alumni relations, or a related field is an asset.
  • Experience working in a school or academic setting is a strong asset.
  • Proven ability to prioritize and manage multiple projects and deadlines effectively in a fast-paced, goal-oriented environment.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Excellent interpersonal and relationship-building skills, with the ability to engage and collaborate with diverse stakeholders including alumni, volunteers, faculty, and leadership.
  • Ability to work independently and creatively, while also functioning effectively as part of a team.
  • Superior written and verbal communication skills, including the ability to tailor messaging to different audiences.
  • Demonstrated tact, diplomacy, discretion, and professionalism in all interactions.
  • Strong customer service orientation with a commitment to fostering positive, lasting relationships.
  • Proficient in Google Workspace and Microsoft Office applications, with particular strength in Excel for data management and reporting.
  • Experience using CRM platforms, preferably Veracross, including maintaining accurate records, data analysis, and reporting.
  • Knowledge of fundraising principles, alumni engagement best practices, and volunteer management is an asset.
  • Familiarity with digital engagement tools and social media platforms is an asset.
